Challenge:
To transform three existing conference rooms into a technically elite, fully flexible event environment— capable of operating independently, in pairs, or as a single combined space — with broadcast-quality audio and video, multilingual interpretation support, and intuitive control for in-house technical staff. All of this had to be delivered against critical deadlines.

Solution:
A fully integrated AV ecosystem built on a Biamp Tesira Server and Dante audio network, Blustream AV-over-IP video distribution, PTZOptics broadcast cameras feeding a vMix production environment, Sennheiser SpeechLine wireless microphone systems, Televic conferencing and interpretation units, and RTI touch panel control — all tied together to give technical staff complete command of every room from a few taps.

The Challenge: Flexibility Without Compromise

The School of Business hosts a wide range of events — from intimate executive sessions to large international conferences requiring multilingual support. Their existing infrastructure couldn’t keep pace with those demands. Key requirements were:

  • Room Flexibility: Three conference rooms that could operate fully independently, combine in pairs, or merge into a single large event space — all switchable with minimal effort by the in-house tech team.
  • Dual Microphone Systems: Two distinct mic setups in the same space: a high-quality wireless system for presentations and events (handheld, headset, podium), and a professional tabletop conferencing system with integrated speaker and display units for round-table sessions.
  • Multilingual Interpretation: A fully integrated interpretation system with dedicated booths, interpreter desks, and WiFi-based receiver distribution — supporting international events without cabling every delegate.
  • Broadcast-Quality Video: Professional PTZ cameras, a production-grade switching environment, and reliable video distribution to any screen in any room — with confidence monitors and cart-mounted displays in addition to fixed screens.
  • Reliable LED Display: A previous Samsung LED wall installation using a daisy-chained HDMI-to-DisplayPort adapter was causing recurring failures — signal dropouts, screens refusing input, and resolution inconsistencies. It needed to be replaced entirely.
  • Intuitive Control: All of this complexity had to be operable by the client’s tech team through simple, touch-based interfaces — not a manual reconfiguration of cables and settings.

Our Solution: An Integrated System Built for Every Scenario

Audio — Sennheiser SpeechLine & Biamp Tesira

The core of the audio system is a Biamp Tesira Server, handling all audio processing, routing, and distribution across all three rooms over Dante. This is the intelligence that makes room combining and source flexibility possible.

For event and presentation audio, we deployed the Sennheiser SpeechLine wireless microphone system — connecting via a Dante access point and supporting up to 16 microphones per room (or 48 total when all three rooms are in use). Clients have a choice of handheld, headset, and podium microphones, all stored and charged in dedicated charging stations. The system sounds exceptional and gives the tech team complete flexibility to configure the mic setup around each event’s specific needs.

For round-table conferencing, we deployed Televic Confidea Flex units — sleek tabletop devices combining a microphone, speaker, and integrated screen on a single unit, purpose-built for structured conference sessions.

Speaker coverage is provided by:

  • Desono 8″ surface-mounted wall speakers (previously installed, retained and integrated)
  • Biamp Entasys column speakers at the front of each room for clear, directional speech reinforcement
  • Subwoofers added to extend low-end response for a fuller, more immersive room sound

Interpretation System — Televic & Williams AV Wavecast

The client’s international events required a professional-grade interpretation solution. We installed three Televic interpreter desks paired with three dedicated single-person interpreter booths, giving interpreters a professional, acoustically controlled working environment.

Interpreted audio is distributed to delegates wirelessly using the Williams AV Wavecast system — broadcasting different languages on separate WiFi channels. Delegates can receive their chosen language on a dedicated Williams AV device, or by simply downloading the app on their own smartphone. No cabling, no headset distribution queues — just seamless multilingual access for every attendee.

Video Distribution — Blustream IP300 & ACM210

Video distribution across all three rooms is handled by a Blustream IP300 AV-over-IP system, with transmitters on source devices and receivers on destination screens throughout the space. This includes fixed wall screens, confidence monitors, and additional displays on mobile carts — giving the team maximum flexibility in how each room is set up for a given event.

All routing is managed by the Blustream ACM210, which provides a drag-and-drop browser GUI and mobile app — allowing the tech team to assign any source to any screen across any room in seconds, without touching a single cable.

LED Wall Replacement — Newline DV LED

The existing Samsung LED wall was being driven by an HDMI-to-DisplayPort adapter daisy-chained across nine screens — a fragile setup that caused recurring signal dropouts, screens refusing input, and persistent resolution conflicts. We replaced it entirely with a Newline DV LED wall, which resolved every issue immediately. The picture quality is outstanding and the system has performed flawlessly since installation.

Broadcast Cameras & Production — PTZOptics, ATEM & vMix

Each room is equipped with a PTZOptics Move 4K PTZ camera, controlled via the SuperJoy joystick controller. Camera SDI outputs are split — converted to HDMI and fed into a dedicated Blackmagic ATEM Mini per room for local switching, while the SDI signal simultaneously feeds a capture card that consolidates all camera feeds into a central vMix production environment.

The Biamp Tesira Server sends and receives audio directly to and from vMix, giving the production operator full control over all audio sources in a broadcast context. Output from vMix feeds back into the Blustream system via a transmitter, allowing presentations, recordings, and live productions to be distributed to any screen in any room.

For local room use, each space has a Newline Touch interactive display for whiteboarding and hosting Zoom, Teams, or Meet sessions independently — using Inogeni capture cards to bring camera feeds in directly from the ATEM mini. When the client wants a fully produced, hosted session, vMix takes over from the control room.

Smart Podiums — Temas

In partnership with Temas, we supplied motorised smart podiums for each room — featuring a built-in PC, motorised height adjustment, and a front-facing display for branding, logos, or event information. A polished, professional presenter experience from the moment a speaker steps up.

Control — RTI Touch Panels & iPad App

Everything — audio routing, video distribution, LED wall control, camera management, and room combining — is tied together through RTI touch panels mounted in each room, with an iPad app for wireless control anywhere in the space. The interface was designed for the client’s tech team: clear, logical, and operable in a couple of taps regardless of how the rooms are configured for that day’s event.

Network Infrastructure

The AV ecosystem runs on Netgear M4250 managed switches with SFP+ connections over copper— well-suited to the cable run lengths in the space and providing the performance and VLAN management the Dante and Blustream systems require. Netgear WAX wireless access points provide stable, reliable WiFi coverage for the Williams AV Wavecast interpretation system and any other connected devices throughout the space.

Key Learnings & Our Commitment to Excellence

1. Replacing Legacy Infrastructure Takes Courage — and Pays Off
The Samsung LED wall had been accepted as a known issue before we arrived. Recommending a full replacement rather than a workaround was the right call — the Newline DV LED wall eliminated every problem and transformed the centrepiece of the room. Sometimes the right answer is to start fresh.

2. Two Mic Systems, One Space — Configuration is Everything
Running Sennheiser SpeechLine and Televic Confidea Flex in the same environment required careful signal management through the Tesira to ensure neither system interfered with the other. Clear routing logic in the DSP design is what makes this seamless for the end user.

3. WiFi-Based Interpretation Requires a Solid Network Foundation
The Williams AV Wavecast system depends entirely on consistent, well-managed WiFi. Dedicated Netgear WAX access points — rather than relying on the building’s general network — were essential to ensuring interpretation signals reached every delegate without dropout.

4. Flexibility Must Be Engineered, Not Assumed
Three rooms that can combine in any configuration sounds straightforward until you’re routing 48 wireless microphones, multiple camera feeds, video distribution, and interpretation signals simultaneously. Every combination scenario was mapped, tested, and built into the RTI control logic before handover.

5. Deadline Pressure Demands Exceptional Planning
This was a complex, multi-system integration delivered against critical deadlines. The outcome — a fully functional, client-approved space booked out consistently — was the direct result of disciplined project management and a team that didn’t cut corners under pressure.
