Huddle Rooms: Agile & Automated Collaboration

For three dedicated huddle rooms, we deployed identical, streamlined setups to ensure consistency and ease of use:

• 86″ Avocor Touch Displays: These interactive displays, powered by an onboard Windows-based OPS (Open Pluggable Specification) module, provided a powerful, all-in-one solution. Each display was configured to launch directly into Zoom, enabling quick meeting starts.
• Huddly Intelligent Cameras: Integrated Huddly webcams delivered high-definition video and crisp audio. Their advanced auto-framing technology ensured that all participants in the room were perfectly framed without manual adjustment, providing an engaging experience for remote attendees.
• Outcome: These huddle rooms provided Western Union employees with a consistently high-performance, user-friendly environment for spontaneous and scheduled video conferences, fostering agile team collaboration.

Boardroom: Precision Control & Executive Presence

The boardroom, a critical space for executive decisions, demanded a more sophisticated and flexible solution:

• Custom-Built PC: A robust, custom-built PC, securely housed in a separate rack, served as the central processing unit for the boardroom’s video conferencing.
• Crestron Control System: We integrated a Crestron control system, providing centralized and intuitive management of all AV components.
  • User Interface: A sleek touch panel on the boardroom table offered comprehensive control, including powering the Avocor display on/off, adjusting the volume of the ceiling-mounted Biamp speakers, and muting/unmuting the discreet Biamp TTM-X microphones.
  • Flexible Presentation: Users could easily switch between video conferencing and local content sharing via conveniently located HDMI ports in the desk.
• Vaddio PTZ Camera: A high-performance Vaddio 20x Pan-Tilt-Zoom (PTZ) camera was integrated, with pre-programmed presets accessible directly from the Crestron touch panel. This allowed for quick and precise framing of presenters or groups, optimizing visibility for remote participants.
• Outcome: The boardroom now stands as a highly functional, executive-grade meeting space, offering advanced control and crystal-clear communication essential for high-level decision-making.

1. Pioneering PoE Audio: We implemented Power over Ethernet (PoE) ceiling speakers for the first time. While proving highly convenient for installation and cable management, this experience provided crucial insights into their performance characteristics, particularly regarding sound pressure levels (SPL). This deepens our expertise in recommending the most appropriate audio solutions based on a room’s acoustic requirements and intended use.
2. Optimizing User Interface Design: The Crestron control system, while powerful, highlighted the importance of intuitive user interface (UI) design. This experience reinforced our commitment to user-centric programming and led us to further explore control platforms like RTI, which offer standardized, highly intuitive graphical user interfaces (GUIs) – ensuring ease of adoption and minimizing user training.
3. Ensuring System Reliability with Strategic Hardware Selection: We encountered occasional, random shutdowns with the custom-built boardroom PC. This valuable lesson underscored the importance of hardware reliability in mission-critical environments. Moving forward, we prioritize the use of purpose-built, highly stable computing solutions such as onboard OPS modules or compact NUCs, which not only enhance system stability but also significantly simplify troubleshooting and maintenance for our clients.
